Shian publishes four newsletters a year and one annual report to provide information for tenants and encourage participation.

SHIAN: Working to provide a ‘best standard’ service for our tenants

Shian has always been concerned to provide as good a service as it can to its tenants. We are now engaged in a programme of work to do even better, driven in part by a new approach developed by the Tenants Services Authority (TSA).

The aim of the new standards is to ensure that organisations such as Shian are doing their job properly, but with less formal supervision and regulation: in short, less bureaucracy. We are expected as a good performing landlord to get on with the job we do, that is, providing good quality services without too much external interference.

However, we have to ensure that we meet a number of standards, and tenants are an essential part of this new approach: we always aim to involve tenants in what we do, but now we want to do even more.

Hence tenants should be involved in all aspects of our work: we need to ensure that we consult with you in what we do, and that we listen to what you say and obtain feedback.

Tenants effectively will have a scrutiny role, and have the opportunity to make their input into how we run Shian and make decisions. Over the next few months we will be working to involve you in developing what the TSA calls a ‘local offer’. This is effectively a bespoke service offer that will address tenant involvement and empowerment, neighbourhood and community and issues concerning your home such as repairs etc.

We have started work on this and as a first phase we have commissioned a review on how we run Shian, measuring ourselves against the standards developed by the TSA.

What we are doing

These notes are the first part of our communications with you about how we intend to respond to the new approach of the TSA. Below we ask a number of questions that we would like feedback on. These include:

• What do we do well, and what areas can we improve upon? (the more detail you can provide the better).
• What do you think are the best ways for us to involve tenants in what we do? For example by meetings, emails, the website, developing special forums, newsletters, texts etc.
• Are there ways in which you would like to be involved? If so let us know.
• Would you consider being a member of a tenant forum? This may amount to no more than one meeting a month, and we would pay travel costs.
• Have you any other thoughts or comments? We want to hear from you.

In addition, we are arranging a meeting with a number of tenants who have expressed an interest in scrutiny. This will take place on 22nd July 2010. If you want to attend and make your views known you are very welcome. Call Karen Lindsay to let us know and whether you want any further information. At the meeting we will brief you further on what we are doing and hear your views on the Shian local offer. Most importantly, we will be listening to you.

Finally, we will be arranging further communications with all tenants on how we are progressing work in this area: watch this space! In the meantime please don’t hesitate to contact us if you need any further information or clarification.

Parking Permits
if you currently have a parking permit for the period 2009/10 this is due to expire on 31st March 2010, please complete the attached application form and come into our offices in order to order a new permit.

National Conversation
The National Conversation is your chance to tell us what services are most important to you as a tenant of a housing association, council, co-op or ALMO. This will help the TSA set standards that will make sure we gives you an excellent service. Take part by attending our National Conversation event at Shian's offices and filling out a questionnaire. The event will be held on Tuesday
